Athlete Orchard is a platform that helps youth sports organizations run registration, rosters, schedules, messaging, and payments. This policy explains, in plain language, what information we collect and how we use it. Questions or requests can always go to legal@athleteorchard.com.
Account information. When you create an account we collect your name, email address, and optionally a phone number and profile photo. If you sign in with Google or Apple, they send us your name and email address and nothing else: no password, contacts or other account data. Apple lets you hide your email; we then get a private Apple address that forwards to you.
Registration and family data. When a parent or guardian registers a player, or a club admin enters roster data, we store what they enter: names, birth dates, grade, jersey number and size, position, equipment needs, medical and allergy notes, an emergency contact, governing-body membership numbers, teams and guardians, registrations, waivers and payment status, attendance answers, coaches’ goals, sign-ups and jobs, roster spreadsheets while they are imported, and a log of edits and of who opened the record. This is information about minors, entered by their guardians or by the club they belong to. The complete list, and who can see each part, is in our children's privacy notice.
Activity within the platform. Messages you send through the platform, RSVPs, schedule changes, and basic usage logs that help us keep the service running and debug problems.
We use this information for one purpose: running your club. That means processing registrations, building rosters, publishing schedules, delivering messages and notifications, and tracking payments. We do not use your data for advertising, we do not show ads, and we do not sell your data to anyone.
Data is stored with Supabase in the eastern United States. Each club sees only its own data: on every request our servers check who you are and read only the records of the clubs you belong to. How that works, and its limits, is on our security page. Authentication is handled by Clerk.
Ask Ayo answers questions about using Athlete Orchard. It never looks at players, families, rosters, registrations, payments, messages or RSVPs: its tools cannot read them. What you type is sent to Anthropic, the company whose AI model powers Ayo, with the conversation so far and what Ayo read for you, only to answer you. What it can see, what it checks before anything is sent, and how your conversations are kept are in our children's privacy notice.
Payments are processed by Stripe. Card numbers go directly to Stripe and never touch our servers or our database. We store only what we need to show payment status: things like whether a registration fee has been paid.
Athlete Orchard is used by adults: parents, guardians, coaches, and club administrators. Information about children is entered and controlled by their guardians or by authorized club admins. We do not knowingly collect data directly from children, and children do not have their own accounts. Kids' data is never shared with advertisers or any third party beyond the services listed above that are required to run the platform.
You can delete your account yourself, at any time, from inside the app: Your account (at the bottom of the menu), then Delete your account. It takes effect at once. Your clubs keep their own records, such as registrations, payments and the waivers you agreed to, and messages you wrote in their channels show as “Deleted account”. To delete your family's records, email legal@athleteorchard.com; we confirm who you are first and aim to finish within 30 days. When a club leaves, or asks us to, we give it a copy of its data if it wants one, then delete the data within 90 days of the request and confirm the deletion in writing. Copies in the database’s daily backups are gone 7 days after that.
If a club’s data is exposed or reached by someone who should not have it, we tell the club within 7 days of finding out, sooner where its agreement with us says so. We say plainly what happened, what was involved and what we are doing about it, and where guardians need to know directly, we work with the club to make sure they are told.
When a New York school district, charter school or BOCES uses Athlete Orchard for a school team or league, New York's Education Law 2-d also covers its students' information. What we take on for those teams is on our security page.
Athlete Orchard is in beta. Features may change, and this policy will be updated as the product evolves. If we make a change that meaningfully affects how your data is handled, we will notify account holders by email.
