Acceptable Use Policy

Last updated: September 13, 2026

Athlete Orchard holds rosters and contact details for children. These rules exist so that access to them is used for one thing: running the club the family joined.

Who this applies to

Everyone who uses Athlete Orchard: clubs and leagues, their administrators, coaches and team staff, and the parents and guardians with accounts.

Your club sets its own rules on top of these. Where the two differ, the stricter one applies.

Protecting young athletes

This is the one that matters most here. The platform exists to run youth sports, so it necessarily holds rosters, birth dates and guardian contact details for minors. You must not:

  • Use contact details obtained here to reach a child or a family for anything other than that club's activities.
  • Contact a minor privately through the platform outside the ordinary, visible course of coaching.
  • Share, publish, or export a roster, a photograph, or a child's information to anyone outside the club without the guardian's permission.
  • Enter information about a child you have no legitimate reason to hold, or keep access to a team after your role with it ends.
  • Upload sexual, exploitative, or abusive content involving a minor. We report this to law enforcement, always, without notice, and terminate immediately.

If you believe a child is at risk, contact your local authorities first, then tell us at safety@athleteorchard.com.

Your account

  • Give accurate information when you register, and keep it current.
  • One account per person. Do not share credentials or let someone else act as you.
  • Create an organization only if you are genuinely authorized to act for that club or league.
  • Tell us promptly if you think someone else has your account.

Things you must not do

Misrepresentation. Impersonating another person, club, or league. Creating an organization that claims to be a club you have no authority over. Falsifying a role in order to gain access to a roster.

Misusing other people's information. Scraping, bulk-exporting, or harvesting member data for anything outside running your club. Selling or transferring a member list. Using contact details for unrelated marketing.

Unsolicited messaging. The messaging tools reach families who joined a club, not a mailing list you acquired. Do not use them for advertising unrelated to the club, chain messages, or fundraising a family did not opt into.

Harassment and abuse. Threatening, bullying, or harassing messages. Content that attacks a person or group based on race, ethnicity, national origin, religion, disability, sex, gender identity, or sexual orientation.

Attacking the platform. Probing, scanning, or testing the security of the service without written permission. Circumventing access controls, rate limits, or org boundaries. Attempting to reach data belonging to another organization. Automated access that degrades the service for others.

Illegal or fraudulent use. Money laundering, processing payments for anything other than genuine club activity, or any use that breaks applicable law.

Misusing payments. Collecting fees you have no authority to collect, misrepresenting what a fee is for, or using the payment tools to move money unrelated to the club's programs.

Content you upload

You keep ownership of what you upload. You are responsible for having the right to upload it, including any photograph containing an identifiable person and any document containing someone else's personal information.

We do not routinely review content. When something is reported, we look.

Security testing and disclosure

Good-faith security research is welcome under the terms on our security page. Testing outside those terms is covered by "attacking the platform" above.

What happens when a rule is broken

Depending on what happened, we may:

1. Contact the club or the person and ask them to fix it. 2. Remove specific content. 3. Suspend an account or an organization's access. 4. Terminate the account or organization. 5. Report it to law enforcement.

We act immediately and without notice where a child is at risk, where there is active fraud, where the platform's integrity or other clubs' data are threatened, or where the law requires it. Otherwise we will normally contact you first, because most breaches of this policy are a misunderstanding and a conversation fixes them.

If your club's access is terminated, you can still ask us to export your data.

Appealing

If you think we got it wrong, reply to the notice we sent, or write to support@athleteorchard.com. A person will read it.

Reporting a problem

  • A child at risk: your local authorities first, then safety@athleteorchard.com
  • A security issue: security@athleteorchard.com, and see the security page
  • Anything else: support@athleteorchard.com

Changes

We will update this policy as the platform grows, and will notify club administrators of material changes.
